Human and Health (H&H) is a not-for-profit non-government organization (NGO) based in Ratanakiri Province, Cambodia. H&H was founded by a group of volunteers and registered with the Cambodian Ministry of Interior on October 11, 2011. The organization is the successor of VOR ORT, a German NGO that implemented tuberculosis (TB) programs in Ratanakiri since 2004. As part of VOR ORT’s exit strategy, the former program management facilitated the foundation process of H&H during 2009-2011.

Currently H&H continues to work towards stopping TB in Ratanakiri and has expanded its work in 2016 to Mondulkiri Province. January 2017 brings exciting changes to H&H with a 4 year approved collaborative project with Indigenous Community Support Organisation (ICSO) in Nutrition & WASH in both Ratanakiri and Mondulkiri Provinces.

  • JOB PURPOSE: The Admin Manager is a member of the Senior Management Team of H&H that will work under supervision of the Executive Director and responsible for overseeing all administrative activities and close collaboration with all project staffs and line management team. S/he will ensure the management and maintenance of all equipment, buildings and vehicles in all locations. S/he will ensure procurement of goods and services and inventory of asset management in compliance with H&H or donor policies and procedures. The position is also the key focal point for safety and security of H&H office and ensuring appropriate systems and policies are followed.
  • ROLES AND RESPONSIBILITIES
    • Develop and regular update all administrative and logistic policies and procedure which include vehicle, travel, assets, procurement, per diem and accommodation.
    • Improve email communication and phone call communication; especially reply timely and clearly to all.
    • Ensure H&H legalize and recognize by all government stakeholders, especially registered by MoI timely.
    • Organize, plan and implement Admin affair in a monthly basis with the team.
    • Oversee website and fakebook, email and other official correspondence
    • Provide specific job description to all admin staff, appraise their performance annually or semesterely to improve their performance.
    • Manage and update organization‘s inventory and equipment, ensure all maintain and repair on time.
    • Ensure logistics of the organization is smoothly operated internally and externally.
    • Manage and build capacity on IT and computer system and materials, ensure computer system are safe protection and timely update and other organization materials is well maintain and care.
    • Manage HR, recruit timely and prepare capacity building plan to all staff, especially Adm department staffs.
    • Conduct Admin team meeting every month to ensure they are well informed and perform their task respectfully and progressively.
    • Share official organization’s information through alternative communication mean like email, phone, post office, to staff and other NGOs timely and effectively.
    • Manage and lead procurement of program materials like motors, vehicles and program’s materials on time for the program and organization to implement the projects.
    • Delegate task effectively in the team, coach and train team to implement the delegated task.
    • Work smoothly with partners and other NGOs for improving administration work, ensure better communication and relation.
    • Provide letter writing, translation documents and other written correspondence to all relevant partners
    • Participate in recruitment of project employees, prepare staff contracts and implement staff appraisal
    • Orient all new and existing staff, consultants, hosted staff, volunteers, interns etc receive orientation on service agreement and admin policies and procedures in cooperation with the (ED).
    • Coordinate for international and domestic travel and accommodation requests and bookings
  • Other Duties:
    • Assist and lead coordination of meetings, workshops and other events as requested by Program team
    • Undertake other duties necessary to support when required by Program Manager and Executive Director.

  • Good leader and manager in admin affaire including coaching and training admin staff.
  • Education and practical experience in administration management or equivalent experience;
  • Years of experiences in senior admin management and admin affaire
  • Strong communication skill with all communication means, verbal and electronic
  • Ability to work effectively in a member of team;
  • Basic knowledge on IT-software and computer maintenance
  • Communication skills including coaching, presentation and facilitation;
  • Goo English proficiency in particular admin management and implementation
  • Understand, agree on and is committed to H&H’s Vision, Mission, Goal, Objectives, Values, Principles, Strategies and Targets;
  • Ability to assist in implementation of Organizational Policy and regulations
  • High level of integrity and strictness

Note: Salary will be negotiable during the interview based on education, skills and experience. The selected candidates will benefit in line with human resource policy such as one month’s salary bonus after 12 months work, Health and accident insurance, Health allowance and phone card.
